Purview eDiscovery Items Report

Version — Offline-friendly No network Author: Mitch King purviewediscovery.com

Summarizes the Items_…csv report produced by Purview processes. The CSV is valid for reports downloaded after “Add to review set” completes and also after Download process completion. The CSV is processed locally in your browser to produce aggregate-only metrics and a downloadable one-page HTML report.

Where to get the CSV in Purview

In Purview eDiscovery: open Process manager → select the process (Add to review set or Download) → click Download report at the bottom. Filename example: Items_1-2025-10-21_09-14-31.csv

Downloaded report (static)

This downloaded report already contains the calculated results. You do not need to upload the CSV again.

Privacy & transparency

Your CSV is not uploaded anywhere. It is read from your device and processed entirely in your browser to produce aggregated metrics and an optional downloadable report.

Summary

Scope (where the data came from)

What this means: which workloads/sources/custodians/locations contributed items to the process report.
Effective workload: Teams-related rows may be classified as Teams even if the CSV says Exchange.

Exceptions (what didn’t process cleanly)

What this means: items where Status is not Successful.
Date handling: non-success rows are excluded from all date range calculations (so placeholders like 1970-01-01 on retrieval errors do not distort the timeline).

Volume drivers (what will take time/cost)

What this means: what is driving processing and review volume (large file sizes, many PDFs, lots of images/ZIPs, etc.).

Text & processing readiness

What this means: whether items have searchable text available and whether attachment/family links look healthy.

Dates coverage (did we capture the right time period?)

Important: date ranges are computed using Successful rows only. Placeholder/invalid timestamps (e.g. 1970-01-01) are ignored.

Privilege & sensitivity (triage)

Counts of fields provided in the report (not a legal determination). “Potentially privileged” may be blank if it wasn’t evaluated or wasn’t populated in the report.

Email indicators (aggregate)

External/encrypted/recipient-count signals (where fields exist).

Dedupe / representatives / sets

“Set” fields are Purview-generated grouping identifiers (opaque IDs) used by analytics (near-duplicates, threading, family de-dupe).

Recommendations (what to do next)

Rule-of-thumb suggestions based on the aggregates above.
